Workflow Cards

The power and flexibility of Boltline becomes more apparent when you start using workflow cards, with the ability to link parts, inventory, work plans, and other workflows. Attach documents and other relevant files directly to the card to centralize information and eliminate the endless search for external references.

Workflow cards are your fundamental building blocks, each representing an individual task or operation in your process.

Card detail view

Click any workflow card to open its detail view (as a modal or full page, depending on context). In the detail view you can:

  • Edit the title and status (or change status via drag and drop on the board).
  • Set Start Date and Due Date, assignees, and labels.
  • Fill in any custom fields defined for the workflow.
  • Add or remove related items (see Related items below).
  • When the card is linked to a Work Plan operation, view and complete Work Plan Operations (see Work Plan Operations below).
  • Attach files, add comments in Activity, and use the Actions menu.

You cannot delete a card, but you can archive it.

Add Cards

  • Select Add a Card for each operation or task that you want to capture.
  • Click on any workflow card to open the detail view and customize your card.

In the card detail view, the Relations (or Related) section shows everything linked to the card: inventory, parts, orders, and other workflow cards. You can:

  • Add relations using the add controls for each type (e.g. link an inventory item or part so it appears on both the card and the part/inventory detail page).
  • Remove a relation using the disconnect/remove control on that item.

Linking inventory, parts, or orders to a card keeps traceability in one place and surfaces the card from those entities’ detail pages.

Work Plan Operations

When a workflow card is linked to a Work Plan operation (for example, the card was created from a Work Plan run), the card detail view shows a Work Plan Operations section. In that section you can:

  • See the Work Plan and operation name.
  • View and complete the operation steps (check off steps) from the card view.
  • Use View to open the full Work Plan run.

Progress you make on steps here is reflected in the Work Plan run, so you can do work from the workflow board without switching to the Work Plan view.

Add to Card

Click on a workflow card to open a window that displays the field options that can be added to the card. You will see different fields depending on the template you chose, and if you've added custom fields.

  • Assignees - Assign users to the card to represent the people responsible for the task or process step. You can filter the workflow cards by Assignees to see how much work has been allocated to each team member.
  • Assign to Self or Remove Self
  • Labels - Use labels to categorize tasks based on different criteria, such as priority, status, project, or whatever you choose. Then, quickly find your categorized cards by filtering based on labels.
  • Dates - Indicate when a task should begin with the Start Date. Set deadlines for tasks by utilizing the Due Date.
  • Attachments - Attach any related files.
  • Part - Attach any part and it will be cross-referenced in both the workflow card and the part detail window.
  • Inventory - Attach any inventory item and it will be cross-referenced in both the workflow card and the inventory detail window.
  • Card - Create a clear representation of dependencies and relationships between tasks by attaching a workflow card from either the same workflow or a different one.

Actions

Click on a workflow card to open the window and view the options under the Actions menu:

  • Change Status - You can change the status of your work card here, in addition to using drag and drop.
  • Duplicate - Save yourself some time by creating a duplicate card of repeated process steps before adding unique details.
  • Record Time - Use this handy stopwatch to log time spent on a task.
    • Select Record Time from the Actions menu.
    • Enter a description, then click the Play button to start tracking time.
    • When you're ready, click Pause to stop the timer. The elapsed time will be recorded on the work card.
  • Archive - Archive the card. If you want to view archived cards, you can do so from Workflow Settings.
  • QR Code - Share the URL for this card or print a QR-encoded label. Scanned QR codes open this card; see QR Codes and Shortname Links for how shortnames work.

Activity

You can add comments under the Activity section at any time, even after a workflow has been archived.
