Workflow Settings

The settings allow you to configure your workflow, define custom fields, and set up automated triggers, like sending a Slack message to specific team members.

Settings are defined within a specific workflow, so you must navigate to your selected workflow to access the settings. If you are just getting started, you need to create your workflow first.

  • Click on the 3 dots (horizontal ellipsis) in the top right corner of your workflow.

A window opens showing the following options:

  • Layout

    • Board (Kanban style of columns) or Table - This can be changed at any time to view the information in a different layout.
  • Share / QR Code - Pull up a window with a QR code that can be printed or scanned, or to get a link to this workflow.

  • View Archived Cards - You will only see archived cards if you select this feature.

  • General Settings - See below.

  • Custom Fields - See Workflow Custom Fields.

  • Automations - See Automations.

  • Members - See below.

  • Activity - See below.

General Settings

After clicking on the 3 dots in the top right corner of your workflow, select General Settings.

  • Workflow Name

    • If you want to change the name of your workflow, you can do it here.
  • Workflow Prefix

    • Boltline assigns a short name called the Workflow Prefix and attaches it, along with a number, to every card in your workflow. You can choose the prefix you'd like to use, as long as it's not already in use by another workflow. The cards are often referred to by their short name, meaning their prefix and number. It can be helpful to chcoose a prefix that distinguishes the workflow from others being used by the same teams.
  • Scope

    • limit the scope of parts and inventory that can be attached to the cards
    • (none, parts, inventory, all)
  • Intake/Done Statuses - You can edit the column names (statuses) for the Intake and Done columns. Default options vary based on the template you're using, and any custom columns you add will appear in your options. These statuses indicate where new work arrives in your workflow and when work is done. These settings are used by Work Plans.

  • Allow card creation by non-members?

    • Toggle this setting to allow people who are not members to create, modify, and archive cards inside this workflow.
  • Members Invite Restriction

    • Select from the available options:
      • Anyone can join
      • Members Invite-Only
      • Owner Invite-Only
  • Make this workflow public?

    • You can change your private workflow to public, but make sure, because it cannot be undone.
  • Danger Zone - Delete Workflow

    Are you sure you want to permanently delete your workflow?

Fields

Automations

  • Create automated actions like sending Slack notifications, or delivering a webhook payload, when the automation is triggered in a workflow. See Automations for more details.

Members

  • Click on Add Member to add people to your workflow.

Activity

  • This displays your Activity Feed, providing a history of updates made to the workflow.
